Actionable resume advice sourced from professionals who review thousands of resumes every year. These 50 tips cover everything from formatting to ATS optimization — updated for 2026.
Build Your Resume Now"Quantified achievements separate good resumes from great ones. Don't say you 'managed a team' — say you 'led a 12-person team, reducing project delivery time by 34%.' Numbers tell a story."

Recruiters spend an average of 7.4 seconds on an initial resume scan. A concise one-page resume forces you to include only your strongest content. Only exceed one page if you have 10+ years of directly relevant experience.
Margins smaller than 0.5 inches look cramped and may be cut off when printed. Larger than 1 inch wastes valuable space. Set all four margins to 0.75 inches for the best balance of readability and content density.
Body text should be 10-11pt and section headers 12-14pt. Anything smaller than 10pt strains the reader, and anything larger than 12pt for body text looks unprofessional and wastes space.
Stick with Calibri, Arial, Garamond, Cambria, or Helvetica. These fonts render consistently across operating systems and are reliably parsed by every ATS platform. Avoid decorative or script fonts entirely.
Use bold, slightly larger text for section headers and add a thin line or extra spacing below each one. This creates a visual hierarchy that helps both ATS parsers and human reviewers find information quickly.
Bullet points are 3x faster to scan than paragraphs. Start each bullet with an action verb and keep them to 1-2 lines. Aim for 3-5 bullets per position to provide enough detail without overwhelming the reader.
If you bold one job title, bold them all. If you italicize one date, italicize them all. Inconsistent formatting signals carelessness and makes your resume harder to scan. Create a pattern and stick to it.
PDFs preserve your formatting across every device and operating system. Only use .docx if the job posting specifically asks for Word format or if you know the company's ATS has trouble with PDFs (rare in 2026).
Tips 9-18
Replace the outdated objective statement with a 2-3 sentence summary highlighting your years of experience, core expertise, and most impressive achievement. This sets the tone and helps recruiters immediately understand your value.
"Increased sales by 34% in Q3 2025" is infinitely more compelling than "Responsible for increasing sales." Use dollar amounts, percentages, headcounts, time saved, or any measurable impact to prove your results.
Led, developed, implemented, optimized, delivered — strong verbs make your contributions feel active and impactful. Avoid weak starters like "Responsible for," "Assisted with," or "Helped to."
Anyone can list duties from a job description. What sets you apart is what you actually achieved. Transform "Managed a team of 8" into "Led team of 8 engineers to deliver product 3 weeks ahead of schedule, saving $120K."
A generic resume sent to 100 jobs will underperform a tailored resume sent to 20. Study each job description, mirror its keywords and requirements, and reorder your bullet points to prioritize the most relevant experience.
That summer cashier job from 12 years ago is not helping your marketing director application. Keep only the experience relevant to your target role. For most professionals, the last 10-15 years is sufficient.
List 8-12 relevant skills, prioritizing hard (technical) skills that match the job posting. Include 2-3 soft skills only if they directly relate to the role. Never list generic skills like "Microsoft Word" or "teamwork."
Use present tense ("Lead a team of 12") for your current position and past tense ("Led a team of 12") for all previous roles. This small detail shows attention to grammar and makes your timeline clearer.
A single typo can cost you the interview. Read your resume backward to catch spelling errors, use grammar tools, and ask a trusted colleague to review it. Recruiters consistently rank typos as a top reason for rejection.
Certifications like PMP, AWS Solutions Architect, or Google Analytics demonstrate commitment to professional growth. Place them in a dedicated section or within your education section, listed with the certification date.
Tips 19-26
If the posting says "project management," use that exact phrase — not "managing projects" or "project lead." ATS systems often perform exact-match keyword searches, so mirroring the posting's language is critical.
Don't just dump keywords into a skills list. Use them within your bullet points to show context. "Managed Agile project management for a 15-person cross-functional team" is far more effective than listing "Agile" alone.
Write "Search Engine Optimization (SEO)" rather than just "SEO." Different ATS systems may search for the full term or the acronym. Including both ensures you're covered regardless of the search query.
Stick with "Work Experience," "Education," "Skills," and "Professional Summary." Creative alternatives like "Where I've Made an Impact" or "My Expertise" may not be recognized by ATS parsers.
Many ATS parsers skip header and footer content entirely. Keep your name, contact details, and LinkedIn URL in the main body of the document to ensure the system can extract them correctly.
While multi-column layouts look great to humans, most ATS parsers read content linearly. Tables can cause content to be jumbled, merged, or lost. Stick with a single-column layout for ATS reliability.
If the posting is for "Software Engineer" but your title was "Software Developer II," include both. You can write "Software Developer II (Software Engineer)" to match the ATS keyword while remaining truthful.
Always run your resume through an ATS compatibility tool before applying. Small formatting issues or missing keywords that are invisible to you can cause automatic rejection. Fix issues before they cost you opportunities.
Tips 27-34
Adequate white space between sections and around margins makes your resume feel clean and organized. A cramped resume with no breathing room signals desperation and makes information harder to find.
Your name should be the largest text (16-20pt), section headers next (12-14pt), and body text smallest (10-11pt). This three-tier hierarchy guides the reader's eye naturally through your resume.
A single accent color for headers or section dividers adds professional polish without being distracting. Stick with blues, dark greens, or dark grays. Avoid red, bright yellow, or neon colors.
Left-aligned text is easiest to read and most reliably parsed by ATS systems. Center alignment is acceptable for your name and contact info. Never justify body text — it creates uneven spacing.
The most effective resumes use clean, minimal design. Fancy graphics, icons, progress bars for skills, and decorative elements may impress at a glance but fail ATS parsing and distract from your content.
The top third of your resume gets the most attention during that 7-second scan. Place your name, professional summary, and most impressive qualifications here. Don't waste this prime space on your address or objective.
Thin horizontal rules between sections create visual breaks that make your resume easier to scan. Keep them subtle — a light gray 0.5pt line works perfectly. Avoid thick or decorative borders.
In the US, UK, and Canada, photos are not expected and can trigger unconscious bias. In some European and Asian countries, photos are standard. Research the norm for your target location and company.
Tips 35-42
This phrase is outdated and wastes a line. Every employer assumes you'll provide references when asked. Use that space for an additional achievement or skill instead.
Background checks, reference calls, and technical interviews will expose dishonesty. Inflating a job title, faking a degree, or exaggerating metrics can result in immediate termination — even years after hiring.
"Seeking a challenging position where I can utilize my skills" tells the employer nothing. Replace it with a professional summary that shows what you bring to the table, not what you want from them.
Including personal details is unnecessary, unprofessional, and can expose you to discrimination. In many countries, employers legally cannot consider this information in hiring decisions.
"Responsible for managing projects and leading teams" could describe anyone. Recruiters can spot copied job descriptions instantly. Write original bullet points that highlight your specific contributions and results.
An email like partyanimal99@email.com or cutiepie_sarah@email.com undermines your credibility instantly. Create a professional email: firstname.lastname@gmail.com. It takes 30 seconds and makes a real difference.
Listing your current salary or desired salary on your resume limits your negotiating power and may cause immediate disqualification if the number doesn't align with the employer's budget. Save this for the interview.
A one-size-fits-all resume tells employers you didn't care enough to tailor your application. Hiring managers notice when your resume doesn't match the posting's requirements, and ATS scores suffer without targeted keywords.
Tips 43-50
Recruiters cross-reference your resume and LinkedIn profile. Discrepancies in dates, titles, or employers raise red flags. Keep both updated and aligned — 87% of recruiters check LinkedIn before calling candidates.
A custom LinkedIn URL (linkedin.com/in/your-name) near your contact information makes it easy for recruiters to learn more about you. Ensure your profile is complete, professional, and matches your resume.
"John-Smith-Marketing-Manager-Resume.pdf" is immediately professional and searchable. "resume_final_v3_FINAL(2).docx" looks disorganized. Include your name and the target role in the filename.
If the company calls it "Product Marketing Manager," don't list yourself as "Marketing Product Manager" or "PMM." Matching the exact title from the posting helps with both ATS matching and recruiter recognition.
Not everyone knows what Acme Corp does. Add a brief descriptor: "Acme Corp (B2B SaaS, $50M ARR)." This gives recruiters instant context about your experience without them needing to Google the company.
If you were promoted at a company, show each role separately under the same employer header. This demonstrates growth and loyalty — two qualities recruiters highly value. It also adds ATS keyword variety.
Relevant volunteer work, open-source contributions, or side projects can demonstrate skills that your day job doesn't cover. They're especially valuable for career changers and entry-level candidates.
Many companies review applications on a rolling basis. Early applicants get more attention and face less competition. Set up job alerts and submit your tailored resume within the first 48 hours for best results.
